A custom route is an additional ad hoc step outside the steps in the approval process. This will allow the proposal originator or another participant to bring others into the proposal who are not included within the current steps of the proposal. Note that a custom route can be requested only by a participant in the current step, and can be created only once per step.

NOTE: It is recommended that you contact a Curriculum Administrator for advice when contemplating a Custom Route.

To begin a custom route, select the Custom Route option as a decision from the decision custom route choice.png.png tab, and then select Make My Decision. The custom route workflow will open so that the user can designate the criteria for this custom route. Criteria include the participants, whether they can edit or comment, and how long they have to review the proposal. Selecting the gray arrow to the left of each category of criteria will expand the options.

After expanding the options under this category of Participants, select “Add Participant.” custom route add participant.png.png This will open the College hierarchy of roles and users. Use the “+” symbol to expand the hierarchy items and view roles, and then users filling those roles. Click on the user(s) to select them, and their respective row will be highlighted blue. You may select multiple roles or individuals within this workflow. Make sure to also select yourself if you intend to continue working on the proposal alongside the participant(s) in the custom route.

Within Rules, you can determine whether the users involved in this step will have the ability custom route rules.png.png to edit the proposal and/or make comments. Note that Champlain does not use the “Signature” feature of Curriculog, so please leave that box unchecked. The last option is a drop-down menu allowing you to determine who may view comments made during the step.

Because a custom route is part of the collaborative development of a proposal and not a formal decision step, the Approve decision only means that participants have acknowledged their due diligence. Choose custom route decisions.png “Approve/Reject 100% for approval.” You may also allow for participants to request a hold, cancellation, or suspension of the proposal (see “Other Decisions” in the Canvas tutorial). Finally, you can control where the proposal moves after the custom route step is complete—either back to the step from which you made the request for a custom route, or forward to the next designated step in the process. Additional users can be notified when this proposal moves forward.

Editing the Deadlines/Reminders option allows you to set how many days you’d like spent on a step and determine if reminders are to be sent to the users involved on the step. You may choose to automatically reject or approve the step if the deadline passes without action. It is not required that you set a deadline, but note that the proposal will not move out of this customized step until all participants (including the Originator) have done their due diligence and rendered a decision.

Finally, the system will ask for a comment explaining the custom route. After entering the purpose of the custom route, click Request Custom Route. When a System Administrator approves (that is, activates) the custom route, make the decision of Approve to advance the proposal to the custom route step. This final action indicates that you are done with your current step.
