There are two levels of course modification: Administrative and Substantive.

Administrative course modifications involve revision of basic catalog information. The list of fields that fall under an administrative course modification are: title, description, credits, code (prefix and/or number), prerequisite, grading scheme (i.e. to pass/fail), cross listing, or travel component.

When only the catalog information for a course is being modified, use the "administrative" form. Administrative changes involve a shorter, simpler approval process than substantive changes. An administrative change proposal is presented to Curriculum Committee as an "fyi" rather than as a voting item.

Substantive course modifications are any revisions in course delivery, learning outcomes, college competencies, or methods of assessment. If you are making both administrative and substantive changes to a course, use one substantive course modification proposal to capture all of the revisions.

REMEMBER: When starting any course modification proposal in Curriculog, the first step must be to (1) import the existing catalog data into the template. Be sure to (2) launch the proposal before making revisions.

Changes Being Made to Course

In the Administrative course proposal, the Curriculog template offers a checklist of modifications from which to choose. The checklist allows for the selection of multiple items as needed.

Changes Made to Course

The Changes Being Made to Course checklist in the Administrative course modification proposal template provides a list of changes that can be made that are considered "administrative." Select as many of the modifications as apply.

Some of the administrative changes are treated as "FYI" and do not require Curriculum Committee or Faculty Senate approval: course name (prefix and/or course number), course description, cross listing, or travel component. The remaining administrative changes--changes in credits, prerequisites, code, grading scheme--do require Curriculum Committee and Faculty Senate approval.

It is important to provide the reader of the course modification proposal with a clear understanding of what changes are being made to course. Both administrative and substantive course modification proposal templates contain this field.

The Summary List of Changes section of the course proposal should contain a point-by-point list of proposed changes that direct the reader/reviewer to the relevant fields in the proposal. The list should be detailed, comprehensive and precise.

The summary list of changes is a tool to communicate information to the reader about what exactly is being changed in the proposal. An accounting of the reasons for making these changes should be articulated in the Rationale field.

Impact on Other Programs

Changes being made to a course may have impact on other programs that rely on the course as a required class or to fulfill prerequisites. Therefore, it is vital to ensure that administrators of impacted programs be made aware of course modifications. Curriculog has a report that is accessible to curriculum originators that flags affected programs.

The Impact Report provides all dependent elements of the curriculum for an item, such as prerequisites, corequisites, crosslistings, programs and campuses. This report will search for and report any reference of the course.

It is incumbent upon the curriculum proposal originator to provide that information in the Impact on Other Programs field so that the information is communicated to those who need it.

Impact on Other Programs

The Impact on Other Programs section of the course proposal should contain a detailed list of programs impacted by changes made to the course. After running an impact report, describe how changes will affect other programs (e.g. prerequisites, opportunity for elective, etc.). If no impact, type "none."
